A simple follow-up sequence
The first text is only the start. Here’s a follow-up sequence we often use, so no missed caller slips through:
- Straight away: the automatic text-back goes out, and the caller is added to your CRM as a new lead.
- Within 5 minutes: your team gets a notification with the caller’s number and any reply.
- After 30 minutes with no reply: a short second message — for example, a booking link or “Is now a good time to call you back?”

- Everywhere: only send the reply to people who called you, and don’t use the number for marketing messages without permission.

- Sending a vague message without your business name — people won’t know who texted them.
- Never following up. The text buys you time; someone still needs to reply and help.
- Texting back your own team members or regular suppliers every time they call — exclude them.
- Skipping registration, so messages quietly fail to deliver.
- Not tracking results. Count how many missed callers replied and booked, so you can see the value.
